Administration & Operations Officer

About the role

We are seeking a highly organized and detail‑oriented Administration & Operations Officer to support the day‑to‑day administrative and operational activities of our Casablanca office. The role will focus on import processes, invoicing controls, contract follow‑up, customer master data management and VAT documentation compliance.

Key responsibilities

• Coordinate and monitor import operations with freight forwarders, customs brokers and internal teams, ensuring complete and accurate documentation and tracking customs clearance.
• Review customer invoices and delivery documents, reconcile discrepancies and liaise with Sales, Logistics and Finance to resolve issues.
• Manage physical and digital archiving of company documents, oversee document digitisation and maintain supporting files for VAT refunds and tax authority requests.
• Monitor the validity and completeness of customer contracts, file and track terms & conditions, payment conventions, distribution and rebate agreements, and coordinate updates and signatures.
• Maintain and update customer master data, ensuring accuracy across internal systems.

• Strong organisational skills with a keen eye for detail.
• Excellent communication abilities to interact with external partners and internal departments.
• Ability to manage multiple administrative tasks and meet deadlines.
