Bilingual Administrative Coordinator – HVAC Operations

About the role
We are looking for a bilingual (English/French) Administrative Coordinator to support our HVAC operations. This fully remote position will handle warranty processing, subsidy and rebate applications, and maintain accurate records while communicating with customers and suppliers in both languages.
Key responsibilities
- Process and manage HVAC equipment warranty applications and claims.
- Submit, track, and document government subsidy and rebate applications.
- Maintain up‑to‑date customer profiles, equipment records, and service information.
- Perform data entry and administrative record‑keeping tasks.
- Coordinate operational documentation and internal files.
- Communicate professionally with customers, suppliers, and external parties in English and French.
- Support process‑improvement initiatives to increase operational efficiency.
- Register product warranties with manufacturers and maintain supporting documentation in ServiceTitan.
- File parts and labor warranty claims with suppliers and assist management with supplier claims.
Required profile
- Fluent written and verbal communication in both English and French.
- Previous experience in administrative support, operations coordination, or data management.
- Strong attention to detail, organizational skills, and ability to prioritize multiple tasks.
- Ability to work independently in a remote environment.
- Problem‑solving mindset with a focus on process efficiency.
Required skills
- Proficiency with Google Workspace.
- Proficiency with Microsoft Office.
- Experience using ServiceTitan or similar service management platforms.
- Familiarity with CRM or customer management systems.
What we offer
- Fully remote work based in Morocco.
- Full‑time schedule, Monday to Friday, EST.
- Hourly rate of $11‑$12 based on experience.
