Senior Purchasing Officer

About the role

The Senior Purchasing Officer supports the procurement of materials, parts and equipment, ensuring that purchases align with company policies and government regulations. This role coordinates with internal teams and external suppliers to maintain optimal inventory levels and timely delivery.

Key responsibilities

• Prepare, maintain, and review purchasing files, reports and price lists.
• Develop bid specifications and conduct competitive procurement processes in compliance with USG regulations.
• Review requisition orders for accuracy, terminology and specifications.
• Contact suppliers to schedule or expedite deliveries and resolve shortages or delays.
• Approve bills, calculate order costs and forward invoices to accounting.
• Verify shipments meet specifications and ensure correct order fulfillment.
• Compare prices, specifications and delivery dates to select the best bids.
• Maintain documentation of purchase orders and verify invoices for payment.
• Assist in developing and revising procurement policies and procedures.
• Interact with internal and external customers to ensure compliance with regulations.
• Analyze quotations, recommend suppliers and schedule deliveries.
• Supervise order preparation and follow up to expedite shipments.
• Conduct internal audits with accounts payable to demonstrate policy compliance.
• Receive, examine and process requisitions for supplies, materials and equipment.
• Inventory equipment and support asset management throughout its lifecycle.

Required profile

• Proven experience in procurement or purchasing, preferably in an international environment.
• Strong knowledge of procurement methods, USG regulations and contract management.
• Ability to monitor departmental budgets and ensure cost control.
• Excellent organizational and documentation skills.
• Experience coordinating with multiple departments and external vendors.
• Familiarity with customs regulations for imports/exports is a plus.
