Virtual Assistant (Remote, Full-time)

About the role

We are seeking a proactive Virtual Assistant to support the CEO and Operations team at Scalix AI. This full‑time remote position includes a three‑month probation period and offers direct exposure to the fast‑paced environment of a high‑growth startup focused on Google and LinkedIn ad strategies.

Key responsibilities

• Manage the CEO’s inbox: triage, prioritize, draft responses and ensure timely follow‑ups.
• Support day‑to‑day administrative and operational tasks across the business.
• Collect, structure and present information in clear formats to aid decision‑making.
• Anticipate problems, flag risks, gaps or blockers before they escalate.
• Schedule and coordinate meetings, manage calendars, send invites, prepare agendas and track action items.
• Maintain professional communication with internal and external stakeholders.
• Assist with operational projects and light process documentation as needed.

Required profile

• Available and responsive during 9 AM – 6 PM Eastern Time.
• Proactive communicator who provides updates without being asked.
• Structured thinker able to turn raw data into actionable summaries.
• Detail‑oriented with strong ownership and follow‑through.
• Comfortable working in ambiguity and adapting quickly to shifting priorities.
• Genuine interest in operations, business systems and startup environments.
