Virtual Assistant - Guest Relations & Bookings

About the role

A performance marketing and digital media agency is looking for a seasoned hospitality professional to act as the central hub for its portfolio of boutique hotels, Bed & Breakfasts and premium short-term rentals. This is a fully remote, independent contractor role covering the entire guest journey, from managing inventory across major OTAs to delivering five-star service from booking to checkout.

Key responsibilities

• Guest relations: be the main point of contact for inquiries, including hotel-style special requests, check-in logistics and real-time troubleshooting.
• Inventory management: oversee calendar availability, rate synchronization and reservation changes using Guesty and Uplisting.
• Platform and reputation management: manage listings and respond to reviews on Airbnb, Booking.com, Expedia and Google.
• Operational coordination: work daily with on-site hotel staff and remote maintenance and housekeeping teams to ensure smooth turnovers.
• Disputes and administration: handle OTA disputes and chargebacks, prevent overbooking, and keep accurate arrival reports.
• On-call support: cover urgent guest messages and emergencies outside normal working hours.

Required profile

• 2+ years managing reservations and guest relations for both traditional hospitality and short-term rentals.
• Native-level English with a professional, empathetic and hospitable tone.
• Strict adherence to UK business hours and flexibility for evening and weekend monitoring.
• Highly organised, autonomous and able to manage a complex portfolio alone.

Required skills

• Extensive hands-on expertise in Guesty and Uplisting (non-negotiable).
• Deep knowledge of Airbnb, Booking.com and Expedia Group, including rate plans and dispute resolution.
• Nice to have: dynamic pricing tools such as PriceLabs or Beyond Pricing, and channel managers such as SiteMinder.
