Administrative Assistant – Procurement & Infrastructure

About the role
The Human Resources & Administration department seeks an Administrative Assistant to support the Procurement and Infrastructure unit. Reporting to the Director of Procurement and Infrastructure Development, the role ensures smooth workflow, effective coordination across departments, and reliable administrative support.
Key responsibilities
- Plan, prioritize and manage secretarial and clerical functions of the office.
- Coordinate information flow between the university’s departments and services.
- Draft, type and format various correspondence (letters, memos, faxes).
- Control incoming and outgoing communications and maintain the Director’s calendar.
- Establish and maintain the office filing system, including archiving.
- Prepare and submit tax‑exemption documentation.
- Receive, record and forward purchase requests; act as purchaser when required.
- Assist in launching and developing projects and follow up on the office budget.
- Perform other tasks as assigned.
Required profile
- Bachelor’s degree (economics or business administration preferred).
- Relevant work experience in an administrative or procurement‑related role.
- Excellent verbal and written communication in English, French and Arabic.
- Strong customer‑service orientation and ability to prioritize multiple tasks.
- Team spirit, time‑management skills and adaptability.
