Bilingual Virtual Receptionist – French/English (Optometry)

About the role

We are seeking a bilingual (French/English) Virtual Receptionist / Patient Care Coordinator to support an optometry clinic remotely. The role focuses on patient communication, appointment scheduling, recall campaigns, and administrative tasks while ensuring a friendly, patient‑focused experience.

Key responsibilities

• Conduct appointment recall campaigns via phone and text using predefined scripts.
• Answer incoming patient calls, respond to inquiries, and provide professional assistance.
• Schedule, reschedule, and process appointment cancellations in the clinic’s system.
• Gather and document emergency intake information when required.
• Navigate the EMR to review appointment details, patient records, balances, and eyewear pickup status.
• Process contact lens orders and keep patients updated on order status.
• Perform additional administrative and patient support tasks as assigned.

Required profile

• Fully bilingual in English and French with excellent verbal and written communication.
• Previous experience in customer service, reception, call handling, or administrative support.
• Strong organizational skills, attention to detail, and ability to multitask.
• Comfortable learning and working with healthcare software platforms and EMR systems.
• Independent, remote‑work ready with a patient‑focused attitude.

Required skills

• Experience with Weave or similar patient communication platforms.
• Familiarity with Optosys EMR or comparable electronic medical record systems.
• Proficiency in navigating EMR systems for scheduling and record management.
