Operations and Accounting Coordinator (Remote)

About the role

We are seeking a remote Operations and Accounting Coordinator to support the daily management of an international music production company. The role blends financial administration, event coordination, and client follow‑up, working closely with the founder to ensure smooth, accurate processes.

Key responsibilities

• Verify band receipts, ensuring no unauthorized expenses and correct amounts.
• Process reimbursements, bank transfers, and upload all expenses to the accounting system (Teamup).
• Prepare and send deposit and final invoices, follow up on overdue payments, and manage client payment schedules.
• Coordinate with non‑profit partners for VAT‑exempt invoicing in France.
• Track working hours in Hubstaff, verify team payments, and report discrepancies.
• Send follow‑up emails and calls to clients and partners, manage unanswered messages, and schedule discovery calls.
• Maintain a structured lead‑tracking system, create production documents, and upload them to Teamup.
• Record bookings and travel expenses in Google Sheets and prepare contracts based on collected information.

Required profile

• Highly organized, autonomous, and rigorous with strong attention to financial accuracy.
• Excellent communication skills for client and partner interactions.
• Ability to manage multiple operational processes simultaneously.

Required skills

• Proficiency with Teamup (accounting/production management system).
• Experience using Hubstaff for time tracking.
• Strong skills in Google Sheets for data tracking and reporting.
• Familiarity with general accounting software and bank transfer processing.
