Ocean Operations Administrator (Maternity Leave Replacement)

About the role

The Ocean Operations Administrator manages import ocean freight operations. This is a maternity leave replacement on a fixed-term contract.

Key responsibilities

• Manage end-to-end import shipment processing: create shipment files, verify documents, monitor cargo, update the ERP, coordinate with shipping lines, notify customers, support customs clearance and issue delivery orders.
• Serve as the main point of contact for customers, giving proactive updates, status reports and high-quality support throughout the shipment lifecycle.
• Coordinate with internal teams, customers, shipping lines, customs brokers and other stakeholders to resolve operational issues or disputes.
• Handle customer feedback and claims, investigate internally, implement corrective actions and communicate resolutions.
• Review and validate shipment documents, apply agreed rates, process invoices in the ERP, issue customer invoices, monitor outstanding balances and liaise with accounting.
• Keep shipment files complete, maintain accurate records and close and archive them according to company procedures.

Required profile

• Bachelor's degree (Bac+3) in International Trade, Logistics and Transportation or a related field.
• At least 2 years of experience in ocean freight operations.
• Fluency in English and French.

Required skills

• Strong knowledge of ocean freight operations (import and export) and international maritime transportation regulations.
• Proficiency in Microsoft Office, especially Excel.
• Excellent communication, negotiation and problem-solving skills; ability to work with cross-functional teams.
